Settings

Plan usage, billing, team, SMTP, AI connections, exports, documents and Labs.

What it's for

Settings gathers everything that belongs to the team (and not to one specific screen): how much of the plan you have used, billing, members, the details for sending over SMTP, the connection to AI assistants, exported files, legal documents and features in testing. Each subject is a tab, in the order they appear: Usage, Billing, Team, SMTP, AI connections, Exports, Documents and Labs.

When to use: To see whether the plan is running out, switch plans, invite someone, set up a system that sends over SMTP, download an export or turn on a new feature.

#Usage

Where to find it: Settings › Usage. Address: app.postal.so/settings/usage.

The Usage tab shows, in rings that fill up, how much of each plan limit the team has spent. The ring turns yellow from 70% and red from 90%. Numbers appear as used / limit (or unlimited). Only the limits your plan has are shown.

GroupWhat it shows
SendingThe emails sent through the API and SMTP: Emails this month (with the date it Renews), Emails today and Request limit (in requests per second). The limit of Emails today is the lower of the plan's and the account reputation ceiling. The daily limit resets at 00:00 UTC and the monthly one on the 1st. The button next to it, Upgrade (free plan) or See plans, takes you to the Billing tab. When the team has, or has used, a Sends add-on reserve, the Sends add-on row shows its balance: Reserve for when the monthly quota runs out or, once the quota runs out, In use: the monthly quota ran out.
MarketingHas the name of the marketing plan and shows Contacts, Contacts that received campaigns this cycle, Broadcasts this month, Automation runs and, when the plan includes email validation, its usage. In Contacts, the limit is the plan's plus that of the packs of the Contacts add-on, when the team has them: the line shows where the number comes from (Plan N + packs N). Contacts that received campaigns this cycle uses the same limit, counting each contact once per cycle, and shows when it renews and How it works (see Contacts that receive campaigns in the cycle).
TeamTeam members, Domains, Inboxes and AI credits. Each use of the AI assistant (writing, improving text, suggesting subjects, fixing deliverability) costs 1 credit.

Tip

When a limit reaches 80% and 100%, Postal sends an email to everyone who has usage alerts turned on. To see the same numbers through the API, use Usage (API).

#Billing

Where to find it: Settings › Billing. Address: app.postal.so/settings/billing.

Only the team's owner and admins see this tab; everyone else sees the notice Only the team's owner and admins can see billing. Here you choose and change the plan, decide what happens when the limit runs out, buy the Sends add-on, use the Contacts add-on, buy the Validation add-on and check the invoices. If billing is down, the dashboard says so and your current plan keeps working.

Plans

Transactional and marketing sending are subscribed to separately. At the top of the plan scale:

ItemWhat it does
ProductSwitches between Transactional (emails sent through the API and SMTP) and Marketing (contacts, broadcasts and automations).
CurrencyThe billing currency. It is locked after the first payment.
PeriodMonthly or Yearly (yearly shows the maximum discount, like Yearly (up to 20% off)).
Volume barDrag it to say how much you need: I want to send N emails/month (transactional) or I have N contacts (marketing). The dashboard highlights the plan that covers that volume, with the Recommended badge. The plan you already have shows as Current plan.
Plan cardShows the price, what is included (for example, N emails per month included or Up to N contacts), the price of each 1,000 extra when there is one and, if any, the free trial days. Free is the plan at no cost; Custom leads to the Talk to us button for very high volumes.
Get started now / Update plan / Back to FreeThe button changes with your situation. Before you confirm, a summary says what will happen: the estimated charge for today (prorated for the time left in the period), the estimated credit on the next invoice or the date the change takes effect.
Manage paymentOpens a secure page to change the card and see the payment details. It appears after the first payment.

Upgrading, downgrading and canceling

  • Upgrading the plan takes effect right away and the difference is charged proportionally.
  • Downgrading the plan only takes effect at the end of the period already paid: the button becomes Schedule change, nothing is charged or credited now and you stay on the current plan until the date shown. While a change is scheduled, the Change scheduled banner shows the date, and the Cancel change button undoes the switch.
  • Canceling the subscription keeps everything until the end of the period; after that the team goes back to the free plan. Until then, Reactivate undoes the cancellation with no new charge.

When the new plan has fewer features

If the plan you want to move to includes less than you use today (for example, fewer domains or fewer members), the screen opens Features to adjust, a table with the columns Feature, You use, New plan allows and Action. On each row, Turn off switches the feature off and Manage takes you to the screen where you reduce the excess. Each resolved item gets the Resolved badge, and a counter shows N of M resolved. Only when everything is resolved does the Confirm downgrade button unlock; Adjust later closes without changing anything.

Paused features

When the current plan no longer includes something the team had, the dashboard shows the Paused features notice with the list of what stopped. Upgrade to turn them back on.

Sending and contacts over the limit

By default, when the month's limit runs out, the excess is rejected. If the plan allows it, two switches change that. They only apply with an active subscription to the matching product.

KeyWhat it does
Keep sending above the monthly limitIn the Sending over the limit section (transactional). When on, sending continues after the limit and every 1,000 extra emails goes on the next invoice. When off, sends above the limit are rejected until the next cycle. Below it, the dashboard shows how many emails went over the limit in this period.
Keep adding contacts above the plan limitIn the Contacts over the limit section (marketing). When on, new contacts keep coming in and every 1,000 extra goes on the next invoice, based on the most contacts you had in the billing period (or the contacts that received campaigns in the cycle, if higher). When off, contacts above the limit are rejected, and so are campaigns that would go over the cycle limit.

Sends add-on

When your sending plan has a monthly limit and offers the Sends add-on, the Sends add-on card shows the Sends reserve and the Buy sends add-on button. The reserve is paid once (no subscription) and is only used after the plan's monthly quota runs out; before refusing a send, Postal spends the reserve and, if the team turned on sending above the limit, after it comes the charge for the extra emails. See Sends add-on.

Contacts add-on

When your marketing plan offers the Contacts add-on, the Contacts add-on card adds contacts to the plan's limit without changing plans: the pack's price goes on the subscription's invoice, an increase is charged right away (prorated for the rest of the period) and takes effect once the payment is confirmed, and a reduction or removal takes effect at the next renewal, with no refund. See Contacts add-on.

Validation add-on

The Validation add-on section shows the Available balance of credits, split into From your plan this month (they renew every month, with the Renew on date), From packs (bought separately, each with its own validity or No expiry) and Bonus credits. Postal spends the plan's credits first and then those from the packs that expire sooner; the ones with no expiry go last. Buy validation add-on opens the list of packs (one-time payment, by card or, when available, by Pix; with Pix the credits arrive when the payment is confirmed). Each pack has the validity set for it, in days, and some have no expiry. Only the owner and admins can buy. The history, under Validation add-on purchases, has the columns Date, Pack, Left, Price, Status (Awaiting payment, Active, Used up, Expired, Payment not completed, Refunded or Canceled), Valid until and the receipt link.

Invoices

The Invoices table lists the team's latest invoices: Number, Date, Amount, the status (Paid, Open, Draft, Void or Uncollectible) and the Links to view the receipt and download the PDF. If a payment fails, the subscription shows as Payment due.

#Team

Where to find it: Settings › Team. Address: app.postal.so/settings/team.

This is where the team's details and its people live. All members see the tab; only the owner and the admins can edit. To understand the roles (Member, Admin and owner), see Teams.

ItemWhat it does
OverviewThe team image (Change image, plus the trash icon to remove it; PNG, JPG or WebP), the Team name with Save, and the sending bars for today and the month.
Invite personType the email, choose the Role (Member: uses the dashboard and the API; Admin: also manages members, plan and billing) and click Invite. The person gets a link by email, valid for 7 days. Only the owner and admins see this.
MembersThe table with Person, Role, MFA (the check mark shows who turned on two-factor authentication) and Joined. Search members filters by name or email. The owner and admins change someone's role right in the Role column.
Remove and leaveThe trash icon removes a person (owner and admins). The Leave button, on your own row, takes you out of the team. The owner can't leave: first transfer ownership to someone else or delete the team.
Transfer ownershipIn a member's actions menu (owner only). The person becomes the owner and you become an admin. You need to type your current password to confirm.
Pending invitationsInvitations not yet accepted, with email, role and Expires. Resend sends a new link (the previous one stops working) and Cancel withdraws the invitation.
Keep recipients of transactional emails in the AudienceThe switch that keeps, automatically, the addresses of whoever receives your transactional emails in the Audience, as Unconfirmed contacts. It comes on; only the owner and the admins can change it. See Turning off the capture.
ExportsThe View exports shortcut takes you to the Exports tab.
Delete teamOwner only. It deletes the team and everything in it (domains, API keys, emails, webhooks and logs), and sending from it stops right away. This can't be undone: you have to type the team name and click Delete forever.

Tip

The number of people on the team has a limit in the plan (Team members, in the Usage tab). Whoever gets the invitation accepts it in Profile › Teams or through the link in the email.

#SMTP

Where to find it: Settings › SMTP. Address: app.postal.so/settings/smtp.

For systems that don't use the API (a CMS, an ERP, a printer, a plugin), Postal also accepts sending over SMTP. The SMTP tab shows the connection details, each with a copy button. The sender must be on a verified domain, and the emails show up in Emails and in Logs.

FieldValue
Serversmtp.postal.so
Port465 (implicit TLS). 2465 (TLS) and 587 or 2587 (STARTTLS) also work.
Usernamepostal (always the same).
PasswordAn API key. Use an existing one or create one just for SMTP (the Go to API keys button takes you there). The dashboard shows ps_sua_chave: replace it with the real value, which is shown only once, when the key is created.

Warning

Use a key with only the sending permission (sending_access) in your email system: if it leaks, whoever has it can only send, with no way to read or delete anything.

#AI connections

Where to find it: Settings › AI connections. Address: app.postal.so/settings/ai-connections.

Here you connect an AI assistant to your Postal account through the MCP server, so you can ask for things in plain language ("which domains are pending?", "send this email"). Each connection reaches one team only, the one you pick when connecting. The tab has three blocks.

BlockWhat it holds
Connect an AI assistantShows the MCP server URL (with a copy button) and a step-by-step guide for each assistant, in the Claude, ChatGPT, Gemini, Cursor, VS Code and Claude Code tabs. The badge says how to sign in: Sign in with Postal (OAuth) (you sign in to Postal, pick the team and allow access) or OAuth or API key. There is also Other MCP clients (JSON with mcpServers), a configuration snippet for programs that read that format.
Connected appsThe AI apps with access to the team, with who connected them, Connected and Last used. Revoke cuts the access right away; to use the app again, it has to be connected again.
Recent activityThe history of the team's connections, denials and revocations (for example, "fulano connected an app", "fulano revoked an app").

Tip

Prefer OAuth when the app offers it: you pick the team and can revoke access here. With an API key, create one on the API keys screen; a sending_access key only sends emails and events.

#Exports

Where to find it: Settings › Exports. Address: app.postal.so/settings/exports.

Every Export button on the lists (Emails, Domains, Logs, API keys, Suppressions, Contacts, and the form responses and visits) generates a CSV file in the background. This tab gathers all of them, for the whole team. The files stay available for 7 days.

ColumnWhat it shows
ListWhere it came from (Emails, Domains, Logs, API keys, Suppressions, Contacts, Form submissions or Form visits).
RowsHow many rows the file has.
StatusQueued (waiting its turn), Generating, Ready (you can download it) or Failed (generate it again from the list).
Created / ExpiresWhen it was requested and when the file disappears.
DownloadDownloads the CSV when the status is Ready.

With no exports, the tab shows No exports and reminds you where the Export button is. Large exports can take a while; whoever requested them gets an email when they finish, if they turned on the Finished tasks notice.

See also: Exports (API) · Export contacts.

#Documents

Where to find it: Settings › Documents. Address: app.postal.so/settings/documents.

Shortcuts to Postal's legal texts. Each item opens in a new tab.

DocumentWhat it's for
Terms of serviceThe rules for using Postal, including the anti-spam policy.
Privacy policyHow Postal handles the data of your account and your recipients.
Data processing agreement (DPA)For companies that need a signed DPA (LGPD/GDPR). The item opens your email app with a request ready for Postal: just send it.

#Labs

Where to find it: Settings › Labs. Address: app.postal.so/settings/labs.

Labs is where new features in testing live, before they reach everyone. Each feature has a name, a description and a switch to turn it on or off for the whole team. Only the owner and the admins can use the switches; other members see the state, and the screen explains why the switch is locked.

When nothing is in testing, the tab shows No experimental features. Features in testing can change or go away without notice; don't depend on them in critical processes.
