Audience

Contacts, segments, tags, topics and properties, import, bulk actions and filters.

What it's for

The Audience is your contact base: the people who receive broadcasts and automations, and everything that helps you organize them. It has five tabs: Contacts, Segments (lists of contacts), Tags (free-form marks), Topics (subjects each person chooses to receive) and Properties (extra fields, like company or plan).

What it’s for: Adding and importing contacts, separating who receives what, keeping the base clean and preparing the audience for a broadcast.

#Contacts

Where to find it: Marketing › Audience. Address: app.postal.so/audience.

The Contacts tab lists everyone on the team. Contacts come in through manual entry, CSV import, forms, the API, a CRM connection and automations. The email identifies the contact: no two contacts on the team share the same address.

Whoever receives a transactional email from you also enters here, automatically, as an Unconfirmed contact, and only receives marketing after you confirm. See Automatic audience from transactional emails.

#Filters

Almost every list in the dashboard has a single Filters button (a sliders icon) in the toolbar. It keeps all of the screen’s filters in one panel, so the bar stays short even on screens with many filters.

How to use it

  1. Click Filters. On mobile, the panel slides up as a sheet attached to the bottom of the screen.
  2. Each filter is a row with a name and a list; the first option in the list turns the filter off (for example, All statuses). Pick the value. The list of contacts, emails or whatever it is updates right away.
  3. Active filters take the accent color and get an X (Clear ...) to turn off just that one.
  4. At the bottom of the panel, Clear filters turns them all off at once. It is disabled when no filter is on.
  5. Click outside the panel, or press Esc, to close it.

What the button shows

  • With no filters on, just the name Filters.
  • With filters on, a dot with the count and a highlighted outline. With a single filter on, its value appears next to it (on wide screens). Hovering over the button lists all of them (for example, "Status: Bounce").
  • At the top of the panel, the summary says No filters applied, 1 filter applied or N filters applied.

What stays outside the panel

The main controls are always in view, next to the button: the search and the Period selector (in the lists that have one). Clear filters does not clear the search. Filters with nothing to choose from disappear from the panel: with no segment created, for example, the segment filter does not appear.

Tip

Filters and search are kept in the page address. Copy the link of an already filtered list to send to a colleague, or save it as a bookmark.

#Bulk actions on contacts

Select several contacts and apply an action to all of them at once: subscribe to a topic, add tags, change segment, verify emails, unsubscribe, resubscribe, export or delete. You can select the page, or all the contacts that match the filters, even if there are thousands. It works in the Contacts tab.

Choosing the contacts

  1. Use the checkbox on each row, or the one in the header (Select all contacts on this page). With Shift you select a range of rows. The selection is kept when you change pages.
  2. If there are more contacts than the page shows, a banner appears under the bar: "50 contacts on this page are selected." with the link Select all 52,300 contacts (or Select all 1,204 contacts that match these filters, if there are filters). The number is the exact count (Counting contacts… while it calculates).
  3. After you click that link, the banner says All 1,204 contacts are selected. Unchecking a row removes that contact from the selection (N unchecked) and the total goes down. Clear selection undoes everything.

There are limits: you can select up to 1,000 contacts one by one (above that, use "select all that match the filters") and uncheck up to 5,000 after selecting all (above that, narrow the filters). One action accepts up to 200,000 contacts.

The action bar

With contacts selected, the search and filter bar gives way to a bar that says N selected and has Clear (the Esc key also works, when no window, menu or text field is in use). On mobile, the bar sticks to the bottom of the screen and shows only icons.

ActionWhat it does
TopicOpens Topic subscription: choose the Topic and the Subscription (Subscribe to the topic or Remove from the topic). With no topics created, the window tells you to create one in the Topics tab.
TagsOpens Tags: What to do (Add tags or Remove tags) and the tags, picked from the list or created right there (only when adding). Up to 20 tags at a time.
SegmentOpens Segment: Add to the segment or Remove from the segment. Only static segments appear: dynamic ones update from their filters.
More actions › Verify emailsChecks whether each address exists and can receive email. Shows Credits needed and Credits available; each address verified uses one credit, and anyone verified recently costs nothing. Verify addresses again that were verified a long time ago includes the ones older than 90 days. Without enough credits, the button is disabled and Buy validation add-on shows up. When it finishes preparing, the dashboard opens the verification in Email validation.
More actions › UnsubscribeAsks for confirmation: the contacts stop receiving any broadcast, but stay in the base.
More actions › ResubscribeStarts sending broadcasts again to people who had unsubscribed. Because it is a matter of consent, the button only turns on after you check I confirm these people asked to receive emails again. Resubscribing without consent violates the LGPD and anti-spam rules and can get your sending blocked. Addresses on the suppression list stay out.
More actions › Confirm they accept emailsOwner and admins only. It makes Unconfirmed contacts start receiving broadcasts and automations, after you tick the declaration that they agreed. See Confirm they accept emails.
More actions › ExportStarts the export right away and delivers a CSV of the selected contacts through the task card in the corner of the screen.
DeletePermanently deletes the contacts: they leave all segments and topics and this cannot be undone. From 1,000 contacts, you must type the number of contacts to confirm.

Track, cancel and check the result

  • Small actions (up to 200 contacts) finish right away. Larger ones run in the background: a card at the top of the tab shows what is being done (Deleting contacts…, Adding tags…), the progress (3,200 / 12,345) and a bar with the percentage. You can leave the screen: the card comes back, even after reloading the page.
  • Cancel finishes the chunk already in progress and keeps what was already done (the card changes to Canceling… and then Operation canceled).
  • Your team can run one bulk operation at a time. While one is running, the actions are disabled, with the notice An operation is in progress. Wait for it to finish before starting another.
  • At the end, a notice sums up the result (for example, 1,150 changed · 50 skipped · 2 failed). Skipped ones were already in the final state (those that already had the tag, for example). If there were failures, the card shows See errors (N), which lists the first contacts that failed, until you tap Dismiss.
  • If the operation does not finish, the card says The operation did not finish: what was already done was kept and, when you try again, whatever is already in the final state is skipped.
  • If the number of contacts changed between the moment you saw it and the moment you confirmed (for example, an import finished), the dashboard asks: The selection changed from X to Y contacts. Continue with Y?

Tip

To clean up a list before a broadcast: filter by Verification › Invalid, select all that match, and use Unsubscribe (reversible) instead of Delete.

#Import contacts

Where to find it: Marketing › Audience › Import CSV. Address: app.postal.so/audience.

Brings in contacts from a CSV spreadsheet. Existing contacts are updated by email, not duplicated. Addresses on the suppression list are skipped, and your plan limits the total number of contacts.

  1. Click Import CSV and choose the file (Choose a CSV file). The file must have a header row, be separated by commas or semicolons and be up to 20 MB; larger ones must be split. If you don't have a spreadsheet ready, Download template (CSV) gives you one with the columns of your properties.
  2. Under Columns, match each field to a column in the file. Only Email is required. The others: First name, Last name, Unsubscribed (yes/no), Tags (comma separated) and one row for each property. Don't import skips a field. The dashboard suggests the matches from the column names.
  3. Check the Import preview, with the first rows already mapped.
  4. If you want, choose Add to segment (only static ones take imported contacts) and the topics under Subscribe to topics.
  5. Decide whether to turn on Start automations for the imported contacts: it starts the "Contact created", "Added to a segment" and "Tag added" automations, as the API does. With large files this can start many automations and send many emails, started gradually and counted toward your plan's monthly run limit. The default is off.
  6. Click Import.

The import runs in the background, and the task card in the corner shows Importing contacts with the progress (N of M rows). At the end, the summary shows how many were new, updated and skipped, how many addresses were skipped for being on the suppression list and the Rows with errors (with the row number). If your plan's contact limit runs out midway, the rest of the file is not imported; when your plan allows it, turning on Keep adding contacts above the plan limit in Billing lets you import the rest (the extra contacts are billed). If your marketing plan offers the Contacts add-on, adding packs also raises the limit.

Tip

Prefer importing people who asked to receive your emails. Before the first broadcast to a new list, verify it in Email validation to avoid bounces.

#Segments

Where to find it: Marketing › Audience › Segments. Address: app.postal.so/audience/segments.

A segment is a list of contacts to target broadcasts, automations and forms. A contact can be in several. There are two kinds:

TypeHow it works
StaticA list you maintain: you add and remove contacts (from the contact screen, in an import, in bulk actions, through a form or through the API).
DynamicA group defined by filters: contacts join and leave on their own as they match them (marked with the Dynamic badge). Broadcasts go to whoever matches the filters at send time. Depends on your plan.

List

ItemWhat it does
Dynamic segmentOpens the filter editor for a new segment.
Create segmentCreates a static segment: Name and Description (optional).
MergeCombines static segments into one (see below). Active with 2 or more static segments. Once at least two are checked, the button becomes Merge N segments.
Search segmentsSearches by name. Next to it, the total (N segments).
ColumnWhat it shows
CheckboxChecks segments to merge. Dynamic ones are disabled (Dynamic segments cannot be merged. Convert it to static first.).
NameA link that shows the segment's contacts in Contacts. Dynamic segments have the Dynamic badge.
ContactsHow many contacts it has (clicking shows the list).
CreatedThe creation date.
Row menuView contacts; Edit (static: name and description) or Edit filters (dynamic); Convert (dynamic → static); Delete (the contacts stay in your audience).

Dynamic segment editor

The filters are groups of conditions. Within each group, choose whether the contact must match all or any of the conditions; between groups, the link is AND or OR (one click toggles it). There are at most 10 groups and 20 conditions. Each condition picks the kind, the field, the operator and the value:

Condition kindWhat it checks
ContactEmail, First name, Last name, Created, Unsubscribed, Email verification (Valid, Risky, Invalid, Not verified), Marketing confirmation (Unconfirmed or Confirmed) and Origin (Transactional emails).
PropertiesAny property you created, with operators for its type (text, number, yes/no, date).
Tagshas / does not have a tag.
Topicsis subscribed / is not subscribed.
Segmentsis in / is not in another static segment.
Email activityA delivery, open, click, reply, bounce or spam complaint, for any email, a broadcast, a template or an automation, with the period (in the last N days, or at any time) and the minimum count.
Eventsperformed / did not perform an event from your app, with the period and, if you want, an event property.

The Preview on the right counts, in real time, how many contacts match the filters now and shows the Newest; until the conditions are complete, it asks you to complete them. Convert to static turns whoever matches now into the segment's list, which stops changing on its own (and makes the segment available to be merged).

Warning

Contacts who join a dynamic segment start its "Added to a segment" automations. Contacts already matching the filters when you save start none. The segment updates when a contact changes and, for time-based filters ("in the last 30 days"), every hour.

Merge audiences

Merge opens a four-step wizard to combine static segments into one, without repeating anyone:

StepWhat happens
SegmentsChoose 2 or more to merge and the Target: a New segment (give it a name) or One of the chosen. The Delete the source segments option deletes the source ones at the end (the contacts stay in your audience).
PreviewCounts the Unique contacts, the Duplicates removed (those who were in more than one) and the Possible duplicate contacts (different addresses that reach the same inbox: letter case, Gmail dots, +tags). Merge duplicate contacts combines those contacts into one, keeping the most engaged one.
Linked itemsLists what uses the source segments (broadcasts, automations, forms, dynamic segments, imports). For each one, choose: Use "target", Keep on "source", Cancel the send (scheduled broadcast) or Pause the automation. Items in progress keep you from deleting the source.
ConfirmSums up what will happen and runs in the background (Merging audiences, with the steps and progress). You can close the window: the merge keeps going.

#Tags

Where to find it: Marketing › Audience › Tags. Address: app.postal.so/audience/tags.

Tags label contacts with what you know about them: engaged, VIP customer, hot lead. They work in filters, in dynamic segments and as a trigger or condition in automations. A tag is born here, on a contact, in an import (tags column) or in an automation.

ItemWhat it does
Create tagAsks for the name (Tag) and the Color (Rose, Blue, Green, Yellow, Red or Gray), with a Preview.
Search tagsSearches by name. On the right is the total (N tags).
ColumnWhat it shows
TagThe tag, with its color.
ContactsHow many contacts have it (clicking shows the list).
CreatedThe creation date.
Row menuView contacts, Edit (name and color) and Delete (the tag is removed from all contacts).

See also: Tags (API).

#Topics

Where to find it: Marketing › Audience › Topics. Address: app.postal.so/audience/topics.

Topics are subjects people choose to receive, like "Product news" or "Offers". With topics, each contact decides what to receive without leaving the whole list. A broadcast can be limited to one topic, and public topics appear on the preferences page that the unsubscribe link opens.

FieldWhat it is
Name and DescriptionThe name and an optional text.
Default subscriptionOpted in: everyone receives it until they opt out. Opted out: only those who opt in receive it. Can't be changed after creation: contacts without a choice already follow this default.
VisibilityPublic: shown on the contact's preferences page. Private: only you manage it, through the API or the dashboard.
ColumnWhat it shows
NameThe topic name.
DefaultThe default subscription (Opted in or Opted out).
VisibilityPublic or Private.
Row menuEdit and Delete (the contacts' choices for the topic are lost).

Tip

For an optional newsletter, use the Opted out default subscription (opt-in): only people who signed up through a form receive it. For notices everyone should receive, but some may opt out of, use Opted in.

#Properties

Where to find it: Marketing › Audience › Properties. Address: app.postal.so/audience/properties.

Properties are extra contact fields, like company or plan. They are used to import, collect in forms, filter segments and personalize broadcasts ({{{contact.empresa}}}).

FieldWhat it is
KeyThe technical name: lowercase letters, numbers and _, starting with a letter. Can't be changed after creation.
TypeText, Number, Yes/no or Date.
Default valueUsed in broadcasts when the contact has no value. It is the only part you can edit later (Edit default value).

Each property's menu has Edit default value and Delete (the value is erased from all contacts). At the top, the total (N properties).
